Adding comments to timecards

Time card comments allow employees and managers to add context to a punch or shift – helping explain missed punches, late starts, early finishes, or other exceptions.
TimeWellScheduled stores these comments directly on the time card so they’re visible during review and payroll processing.
What Are Time Card Comments Used For?
Time card comments are commonly used to:

- Explain a missed or adjusted punch
- Note why hours were edited
- Add manager approval notes
- Provide payroll clarification
- Document exceptions or one-off situations
Comments help reduce back-and-forth questions and create a clear audit trail.
How To Add Comments
- Go to TIME CARD & PAYROLL.
- Go to REVIEW, UPDATE AND APPROVE TIME CARDS
- Select the time card, click the EDIT icon
- Add or update the comment.

- Save the time card.
Manager comments are saved alongside employee comments and remain visible for payroll review.
Where Do Comments Appear?
Time card comments can be viewed:
- On the time card itself
- On the review page
Best Practices
- Be clear and specific (example: “Forgot to punch out – left at 4:30 PM”)
- Use comments consistently for manual edits
- Encourage employees to add comments when something looks off
- Review comments before approving time cards
Important to Know
- Comments do not change punch times by themselves
- Editing a punch does not automatically add a comment
- Comments remain attached to the time card unless removed manually
