Copying a Schedule
TimeWellScheduled gives you three different ways to copy schedules, depending on what you’re trying to accomplish:
- Copy one time period to another
- Copy one week into multiple future weeks
- Use Smart Copy (SQL-driven intelligent copy)
Below is a breakdown of when to use each option and how they work.
1. Copy a Time Period (Week 1/2/3/etc → Future Weeks)
Best for: Repeating a specific schedule pattern (e.g., Week 1 or Week 2 in a bi-weekly rotation) into a future date range.
This is ideal when:
- You run a rotating schedule
- You want to duplicate a clean week
- The future week will look very similar
How It Works
- Navigate to the schedule, pick the department and week to copy.
- Click the COPY icon

- Select the first option, change the time period (Week 1, Week 2, etc.).

- Select the future date range you want to copy into.
- Click CONTINUE.
- Confirm the options.
- Click PREVIEW.
- Click FINISH.
The selected week will be duplicated into the new time period exactly as it appears.
Tip: Always review the destination week after copying to ensure availability, time-off requests, or staffing changes are accounted for.
2. Copy a Week for Multiple Weeks
Best for: Creating multiple weeks at once (e.g., copying this week into the next 4–8 weeks).
This is ideal when:
- You have a stable staffing pattern
- You’re building schedules in bulk
- You want to save time during long planning cycles
How It Works
- Navigate to the schedule, pick the department and week to copy.
- Click the COPY icon

- Select the second option, change the time period and how many weeks to repeat

- Click CONTINUE.
- Confirm the options.
- Click PREVIEW.
- Click FINISH.
TimeWellScheduled will automatically populate each selected future week with the same shifts.
Tip: This method works great for seasonal periods when staffing stays consistent.
3. Smart Copy (Intelligent Schedule Copy)
Best for: Copying a week while automatically adjusting for availability and staff changes.
Smart Copy is SQL-driven and more dynamic than traditional copying.
It is ideal when:
- Staff availability has changed
- Some employees are no longer active
- You want fewer manual adjustments
- You’re copying from last week but need smarter logic
What Smart Copy Does
When copying a schedule, Smart Copy will:
- Consider employee availability
- Skip inactive employees
- Avoid copying shifts for employees who are not available
- Reduce manual cleanup after copying
Instead of blindly duplicating shifts, Smart Copy helps you start with a more accurate version of the schedule.
How to Use Smart Copy
- Navigate to the schedule, pick the department and week to copy.
- Click the COPY icon

- Select the third option, change the time period and which rule for selecting employees

- Click CONTINUE.
- Confirm the options.
- Click PREVIEW.
- Click FINISH.
Review the copied week to ensure coverage is complete and make any final tweaks.
Smart Copy saves time especially in environments where staff availability frequently changes.
