Onboarding – How Employees Complete Their Files

Once a new hire has been added to an onboarding group they will receive a personalized onboarding link to their email. This link brings them to a secure page where they can review, complete, and submit all onboarding materials assigned to them.

Below is an overview of what new employees will see and how the process works.


Step 1 – Access the Onboarding Link

New hires will receive an email with:

    • A welcome message
    • A secure link to their onboarding page
    • Any custom message you choose to include

Employees simply click the link to begin.
No login or account creation is required.


Step 2 – Review Assigned Documents

The onboarding page displays all items assigned based on the group you created. This may include:

    • Policies
    • Forms
    • Training modules
    • Government documents
    • Company-specific attachments
    • Safety or compliance files
    • Payroll or HR forms

Each file is listed with a PENDING or COMPLETE depending on the item status.


Step 3 – Fill Out and Submit Files

Employees complete each item one by one:

    • PDF / Document Forms: Employees download, fill out, and upload their completed versions.
    • Uploads Required: If you ask for additional documents (ID, certifications, etc.), employees upload them directly from their device.

Completed items automatically move to the Finished section.


Step 4 – Track Progress

Employees can always see:

    • What has been completed
    • What is still outstanding
    • Any missing required uploads
    • Their overall progress bar

If there are custom instructions, they appear at the top of the page.


Step 5 – Employer Review

Once the employee finishes all items:

    • Administrators will see the onboarding marked as Complete in the Onboarding dashboard.
    • Files can be downloaded or reviewed individually.
    • If an item needs correction, you can request a re-upload directly from their onboarding record.

The onboarding experience is designed to be simple, mobile-friendly, and easy to complete – no printing, scanning, or manual email exchanges needed.
