Time Card Change History
The Time Card Change History feature provides a detailed audit trail of all edits and approvals made to an employee’s timecard.
This allows managers to clearly see:
-
- Who made a change
- What was changed
- When the change occurred
- Approval activity (approved/unapproved)
Why This Matters
Timecards directly impact payroll – so having visibility into changes is critical.
With Change History, you can:
-
- Ensure accountability across managers and admins
- Quickly investigate discrepancies
- Confirm edits before processing payroll
- Maintain a clear record for compliance or internal reviews
How to Access Change History
- Go to TIME CARDS & PAYROLL
- Go to REVIEW, UPDATE & APPROVE TIME CARDS
- Locate the employee and date you want to review
- Click the clock icon beside the timecard entry (right side)
What You’ll See
When you click the clock icon, a history window will open displaying all activity related to that timecard.
1. Edit History (Detailed Changes)
For each edit, you’ll see:
-
- Date of action
- Type of action (e.g., Meal Edited, Entry/Exit Edited)
- Who made the change
- Previous values (before the change)
- Updated values (after the change)
This makes it easy to answer questions like:
“Who changed this shift from 5:00 PM to 6:00 PM?”
2. Approval History
The lower section shows:
-
- When the timecard was approved or unapproved
- Who performed the action
- The exact timestamp
This is especially useful for:
-
- Tracking approval workflows
- Confirming final payroll readiness
- Identifying last-minute changes after approval
Example (Real-Life Scenario)
A manager notices an employee’s hours look higher than expected.
Using Change History:
- Click the clock icon
- Review the edit history
- See that another manager extended the end time from 5:00 PM → 6:00 PM
- Confirm who made the change and when
This removes guesswork and avoids back-and-forth communication.
Best Practices
-
- Always review history before payroll is finalized→ Catch unexpected edits early
- Use history when resolving disputes→ Provides a clear, unbiased record
- Train managers to be mindful of edits→ Every change is tracked and visible
Tips
-
- The history is read-only→ It cannot be altered, ensuring accuracy
- If something looks incorrect:
- Verify who made the change
- Follow up directly with that user
Summary
The Time Card Change History feature gives you full transparency into all timecard activity. It helps ensure accuracy, accountability, and confidence when reviewing and approving employee hours.
