Who can employees message?

TimeWellScheduled includes built-in messaging controls to keep communication focused on work-related topics. By default, employees can only message upward in the role structure, while managers can message downward.

Default Messaging Rules

Admins & Managers

  • Admins, Managers, and Supervisors can message anyone in roles below their own.
  • This allows leadership to communicate with their team while preventing unwanted lateral or personal messaging.


Employees

  • Employees can only message team members in higher
  • They cannot message coworkers at the same level or below.
  • This ensures the system is used for business communication—not personal chat.

Optional Settings You Can Enable

To provide more flexibility, there are two additional permissions you can activate for employees:

  1. Can send messages to different roles and departments
    • Enabled by default for Admins, Managers, and Supervisors
    • When enabled for an employee, they can message users in other roles and other departments
    • Useful for multi-department workflows or cross-team coordination
  1. Can send messages to the role the employee belongs to
    • When enabled, employees can message others at the same role level
    • Example: All “Employees” can message each other
    • Great for teams that need peer-to-peer communication (e.g., shift swaps, quick updates)

To change these security settings

  1. Go to MANAGE MY BUSINESS
  2. Go to MANAGE SECURITY GROUPS
  3. Find the security group mentioned above you want to enable
  4. Click the checkbox ON for the group you want to have access too
